Why back-scan

Clear the archive. Keep every record.

If your teams are still walking to filing cabinets, waiting for boxes from storage, or working around rooms full of paper, back-scanning moves everything to searchable digital files in one project.

Nothing starts until a test batch has been signed off against your exact requirements — image quality, indexing, file naming and output. From there, production runs on our scanning floor with quality control on every batch and every document tracked to delivery.

Once your archive is digital, day-forward scanning or our digital mailroom can keep it that way.

Frequently asked questions

Bulk scanning FAQs

What is back-scanning?

Back-scanning (or backfile scanning) is digitising an existing archive of paper records in one project, so you can work from digital files and free up the space. Day-forward scanning then handles new documents as they arrive.

How large a project can you take on?

From a single archive to millions of pages. Large projects get dedicated project management, a signed-off test batch before production and quality control on every batch.

Do you prepare the documents?

Yes. Our team removes staples and clips, repairs and flattens where needed, sorts the documents and indexes them to the reference fields your team searches by, before scanning.

What formats do you deliver?

Searchable PDF, PDF/A, TIFF or JPEG, OCR'd and indexed to your references, delivered by SFTP, secure portal or media.

Are scanned records legally admissible?

Yes. We scan to BS 10008, the British Standard for the legal admissibility of electronic information, so digital records can stand up as evidence and originals can be destroyed where your policy allows.

What happens to the originals?

Your choice: returned to you, moved into our secure storage, or destroyed to BS EN 15713 with a certificate of destruction.

How much does bulk scanning cost?

It's quoted per project and depends mainly on volume, document condition, preparation, indexing depth and output format. We quote from a free test batch — see our scanning cost guide for what drives the price.
