Why digitise

Less paper, less risk, faster answers.

Digitising your records frees up space, removes the risk of lost or damaged files, and means anyone who needs a document can find it instantly — not after a trip to the archive. Scanned files are easier to share securely, simpler to back up, and far quicker to search.

Nothing starts until a test batch is signed off to your exact requirements. From there, every document is tracked through to delivery inside our accredited, audited environment.

Frequently asked questions

Document scanning FAQs

Are scanned documents legally admissible?

Yes — we scan to BS 10008, the British Standard for the legal admissibility of electronic information, so your digital records stand up as evidence and originals can be confidently destroyed where policy allows.

What types of documents can you scan?

Everything from standard office files to medical records, large-format drawings, wills and fragile bound volumes (captured on our A0 conservation system) and microfiche — from one-off projects to millions of pages. Nothing starts until a test batch is signed off to your exact requirements.

How does the scanning process work?

Our DBS-checked staff collect your documents with a full chain of custody. Files are prepared, indexed to the reference fields your team searches by, scanned with automated capture and OCR with quality control on every batch, then delivered by SFTP, secure portal or media.

What happens to the original documents after scanning?

Your choice: originals are either returned to you, moved into our secure storage, or destroyed to BS EN 15713 with a certificate of destruction.

How much does document scanning cost?

Scanning is quoted per project — the price depends on volume, document condition, preparation, indexing depth and delivery format. We give a firm, no-obligation quote from a free test batch, so you see the quality and the cost before committing.

Do you offer bulk and back-scanning?

Yes. We handle high-volume back-scanning, from a single archive to millions of pages, with dedicated project management, a signed-off test batch and quality control on every batch.

Where do you offer document scanning services?

Nationwide. We collect across the UK and run our own scanning bureaux from six sites — including Leicester, Corby, Nottingham and Tilbury (serving London and the South East) — so work stays in our accredited UK facilities and is never sent offshore.

Can you scan and shred in one service?

Yes. We can scan your documents and then securely destroy the originals to BS EN 15713 with a certificate of destruction — or move them into secure storage instead. It's your choice, recorded with a full audit trail.
