Why it matters

Archiving is storage with control added.

Boxing records up and pushing them into a storeroom isn't archiving — it's a problem deferred. Nothing's indexed, nothing has a retention date, and when someone needs a file or an auditor asks what you hold, it's a hunt.

A managed archive fixes that. Every box and file is barcoded and indexed to the references your teams search by, given a retention date, and tracked through every movement — so you always know what you hold, where it is, and when it can go.

We run the whole life-cycle ourselves, in facilities we own: survey, collection, indexing, storage, retrieval, scanning and certified destruction. One audit trail, one accountable team, since 1977.

Document archiving FAQs

What's the difference between document storage and document archiving?

Storage is where records sit. Archiving is how they're managed: indexed to your references, given retention dates, retrievable on demand and destroyed on schedule. We archive your records in our own UK facilities so they stay findable and compliant, not just off your floor.

Do you archive physically, digitally, or both?

Both. We hold barcoded boxes and files in our UK sites, or scan records to searchable PDF/A and archive them digitally into your systems — or a hybrid, where paper is stored and any file is scanned on demand the day you ask for it.

How do retention and destruction work?

Every item carries a retention date. We prompt you when records fall due for review and, only with your approval, destroy them to BS EN 15713 with a certificate for your audit trail.

Can I still get an archived file quickly?

Yes. Any archived box or file is back next working day as standard, within two hours when urgent near our sites, or scanned and sent to you the same day without moving the box.

Where are archived records kept?

In six UK facilities we own and run ourselves, including Leicester, Syston, Corby, Nottingham (Colwick) and Tilbury for London and the South East. Records are never subcontracted or sent offshore.

Can you take over an archive we already have?

Yes. We survey what you hold, collect it with a full chain of custody, and index it into a managed archive — including archives currently sitting with another provider or in your own storerooms.
