Under the Data Protection Act 1998, WEEE Directive on Waste Management and the upcoming General Data Protection Regulation in May 2018 (GDPR), all unwanted paper and computer record data that could identify a living individual must be confidentially disposed of and destroyed in a secure manner. However, different organisations have different requirements when it comes to shredding.

Shred Request Received

We offer various flexible shredding solutions to suit the needs of your organisation. An ad hoc shredding service is ideal for those undertaking an annual clear out, whereas a regularly scheduled shredding service is better suited for organisations requiring confidential destruction on a more frequent basis. If you decide on an ad hoc shredding solution, then we’ll provide you with heavy duty sacks and trackable tags in order to create a full audit trail. For regular collections, we will offer you a choice of secure container solutions in various sizes, all of which are uniquely tracked to each customer.

Whichever you choose, upon receiving the collection request, our trained staff will first and foremost assess the most secure, effective and cost-effective way in which to collect your confidential waste. As soon as a client places a collection order, we assign it by route to the site, where it’s then printed and sent to the driver’s RSMobile handheld device.

Safe & Secure Collection

When our drivers arrive at the client’s premises to collect your destruction items, they will scan the barcodes on your bags or containers to the ‘incoming destruction’ location. The data from their RSMobile will then be uploaded to our secure server and they will ask for your digital signature for validation.

To ensure that your documents are secure at all times, we implement strict policies throughout the collection process. All of our drivers are DBS-checked, referenced and are clearly recognisable via their branded uniforms and identification badges. They have also all signed a deed of confidentiality. We transport your documents in secure sacks or boxes in GPS-tracked, alarmed vehicles to preserve confidentiality when in transit.

Quality Check & Tracking

Next, your items are delivered to one of our sites, where they are scanned into the shredding bay, and then quality checked by our highly experienced, trained staff. They are then tracked through our secure database to the quality controlled destruction point.

Confidential In-House Shredding

All shredding is achieved in-house using a dual industrial shredder and automated baler system. This shredder cross cuts paper to BS EN 15713 standard and the waste is then mixed and baled. Once shredding is completed, a destruction certificate is issued to the customer via email.

Crucially, destruction of confidential material takes place within one working day from the arrival of waste at our site. The only exception to this rule occurs when documents have been received for scanning. In this case, the scanned documents are kept in a secure holding facility within our shredding unit pending an authorisation instruction from the client.

Recycling Your Shredded Waste

All of the waste from our shredding is recycled. We don’t burn or send waste to landfill but instead work with some of the UK’s leading tissue paper mills. This part of our shredding process not only complements our environmentally-friendly practices but also helps you to enhance your corporate responsibility credentials.
