Stor-a-File is re-awarded the Contract for Document Storage by the University Hospitals
of Leicester NHS Trust
University Hospitals of Leicester NHS Trust (UHL) includes Glenfield Hospital, Leicester
General Hospital and Leicester Royal Infirmary. They are one of the largest and
busiest teaching trusts in England, providing services for people across Leicester,
Leicestershire and Rutland.
Stor-a-File provides a daily and emergency retrieval service to all three hospitals,
retrieving 300 files per day to over 99% efficiency.

Stor-a-File embark on Document Management project with Haringey NHS
NHS North Central London Cluster (NCL) consists of five of Primary Care Trusts (PCTs)
which are Barnet, Camden, Enfield, Haringey and Islington. Together they serve a
combined population of around 1.27 million. This new management arrangement is part
of the national policy to strengthen commissioning of NHS services over the next
two years and to make sure that services are safe and effective whilst the new system
develops. The Cluster arrangements supports the changes to the NHS set out in the
Government's NHS White Paper - Equity and Excellence: Liberating the NHS.
In order to drive improved service, cost savings and efficiencies, Haringey NHS
chose Stor-a-File as their Document Storage provider to consolidate all of their
Documents safely in one place before this move took place.
Stor-a-File helped Haringey NHS to confidentially destroy expired data and then
removed the balance of the documents from their St. Ann’s Hospital store and placed
them into our secure storage facility nearby.
The documents are now indexed, cross referenced by unique barcodes, and can be called
back to Haringey NHS at any time.

Walsall Council chooses Stor-a-File to be their Document Storage supplier
Stor-a-File are delighted to announce that they are Walsall Council’s chosen Document
Storage suppliers to store a number of boxes of Confidential Documents generated
by some departmental restructuring.
Walsall Council is focussed on security and cost efficiencies for this contract,
so looked for a supplier who had the necessary qualities to deliver the service
as effectively as possible with these aspects in mind. They wanted to ensure that
any solution kept their records truly safe and secure and was also a financially
sound choice in the current economic climate. Stor-a-File offered to provide this
service from their 50,000 square foot secure facility in Syston, Leicestershire,
which houses storage space for in excess of 200,000 boxes and contains a highly
experienced team of operatives.
The project commenced in April 2011 and Stor-a-File and the West Midlands based
Council have managed 100% efficiencies so far.

Stor-a-File celebrate their 5th anniversary at providing an electronic post room
With a single-shift capacity of well over 1.5 Million scans per month and 34 years
of experience, Stor-a-File’s scanning bureau are now celebrating 5 years of providing
an electronic post room to a London Borough. The key element of our electronic post
room service has always been that we complete and transfer a day’s post within a
day of its receipt. This includes post opening, document scanning, indexing and
upload to the clients’ appropriate output method. Work is carried out in a client-specific
area, with a dedicated team specifically trained in that client’s requirements.
Post is received either through a ‘daily bag’, sent via courier or overnight parcels
service, or from a dedicated PO box which we can collect from daily. Post can be
opened at the customer's end and sent on, or everything directed to Stor-a-File
for opening, routing to the scanning service or return to the client as appropriate.
With the addition of more clients in this area, Stor-a-File are proud of the efficiencies
and cost savings that we’ve provided.

Stor-a-File invest in Confidential Shredding at new site
Having securely destroyed our clients confidential records for many years working
closely with a third party, Stor-a-File took the decision bring this service in-house
and invested in a brand new shredder & automated bailer at our new Leicester site.
Stor-a-File recognises that confidential destruction of data is essential to maintain
commercial integrity and comply with new government and privacy legislation. In
order to enhance the security of the service provided we therefore invested in a
state-of-the-art Godswill shredding system.
Our new system ensures that all our shredding processes are conducted in a safe
and secure environment carried out by our own security vetted personnel under CCTV
onsite.

Stor-a-File plant another 3000 trees
As many of our clients and partners know Stor-a-File own 167 acres of farmland in
the Midlands and has pledged to plant a tree for every 100 new boxes stored by our
clients.
This is part of Stor-a-File’s environmental policy and helps to offset our Carbon
Footprint.
At the end of 2010, after acquiring some new clients, experiencing growth from existing
clients and finding that we’d renewed some contracts, we found ourselves in a position
where we had to start planting some more trees this year!

Stor-a-File’s status as ESPO Scanning Providers is renewed
Stor-a-File have been part of ESPO’s Framework for Scanning (Contract 390) for some
time and when the opportunity arose to re-tender for the Framework, we were excited
to be offered the chance to keep our position in the contract, and to continue to
work with our existing clients through the contract.
On finding out that we were awarded a place on the Framework, we are extremely happy
to cement our relationship with ESPO and its clients.
It was also fantastic news to get top marks in the “Quality” section of the Tender,
as it confirms that the investments that we’ve made in our processes, security,
infrastructure and staff are appreciated.

Stor-a-File invest in upgrading IT Security in new site
As Stor-a-File has recently upgraded to a new, large multifunctional Head Office
in Leicestershire, moving premises became an opportunity to upgrade our IT and Communications
Systems. We worked with our IT Security partners BMS to upgrade security in the following ways:
- We upgrade our Watchguard Firebox to an Enterprise class Edge X750
- Our leased line is a private circuit for our use only
- All client data is now stored on isolated redundant devices which are mirrored
- An imaging server takes complete snapshots of all data every 15 minutes for added
redundancy and allows for rapid recovery in case of disaster.
Our Communications systems were upgraded to by
Dalys Systems to Univerge SV8100 IP 9.5 server chassis with ISDN2e lines
with All SV8100 IP Phones which can be configured to offer:
- ISDN2e Card for 4 channels
- 16 Digital extension ports for system telephone
- 4 x Analogue extension ports (for fax, modem)
- 12 x 12 key display handsets
- Auto attendant module option
- Voicemail licences for 12 users
- Installation to include:
- Installation to CAT5e cabling
- Programming of the system
- Connection to newly installed lines

Hertfordshire Community NHS Trust choose Stor-a-File to be their Document Storage
supplier
From 1 November 2010, Hertfordshire Community Health Services (HCHS) became Hertfordshire
Community NHS Trust (HCT) and is one of a new generation of community health services
Trusts in the NHS.
Previously the provider arm of NHS Hertfordshire (PCT), HCT is responsible for delivering
a wide range of community health services across Hertfordshire.
The Trust serves a population of around one million people and employs over 3,000
staff.
Services include health visiting, school nursing, community nurse, intermediate
care and a range of specialist services such as physiotherapy, occupational therapy
and speech and language therapy.
In order to drive improved service, cost savings and efficiencies, Hertfordshire
Community NHS Trust chose Stor-a-File as their Document Storage provider for a new
project.
Stor-a-File helped HCT to confidentially destroy expired data and then removed the

storage facility nearby.
The documents are now indexed, cross referenced by unique barcodes, and can be called
back to HCT, who can use the O’Neil web ordering system, at any time.
This efficient and inexpensive document management service is an effective way for
HCT to face some of the challenges they face in the present economic climate.

Stor-a-File new Head Office in Leicestershire now houses Document Storage, Scanning,
Shredding and Microfilming
The increase in our client's requirements throughout 2009 and 2010 meant that Stor-a-File
was able to acquire a new facility in Syston, Leicestershire. This was an exciting
opportunity, which meant that 4 of our core services could be consolidated under
one roof, and our staff working within the different services can share skills and
work more closely together.
The location is just off the A46, there are excellent road links to Nottinghamshire,
Warwickshire, Birmingham, Lincolnshire and Northamptonshire. The building has undergone
complete refurbishment to ensure that it is meets the climate, safety and security
requirements for safe document management.

Southend on Sea Borough Council choose Stor-a-File to be their Document Storage
supplier.
Stor-a-File are delighted to announce that they were the winning bidders in the
mini competition held to quote for uplifting and securely storing a number of boxes
of confidential documents which will be generated by Southend on Sea Borough Council
as a result of the refurbishment of their Civic Centre.
Southend Borough Council is focussed on the efficient running of this contract,
so looked for a supplier who had experience working on similar projects. They wanted
to ensure that any solution kept their records truly safe and secure and was also
a financially sound choice in the current economic climate. Stor-a-File offered
to provide this service from their 25,000 square foot secure facility in Corby,
Northamptonshire, which houses storage space for in excess of 200,000 boxes and
contains a highly experienced team of operatives.
The project commences in 2010 and Stor-a-File are excited about working with this
progressive Essex based Council.

Stor-a-File support Hinckley Rotary Club’s Golf Day for LOROS
Stor-a-File’s Leicester based Document Scanning, Confidential Shredding and Storage
operations all carry out work for LOROS. The relationships between some of the staff
at both organisations meant that Stor-a-File was offered the opportunity to take
part in a Golf Day organised by Hinckley Rotary Club on LOROS’s behalf.
After sponsoring a hole on the Hinckley Golf Course for the day, and a nearest the
pin competition, Stor-a-File also entered a team. The team had a lot of fun on the
day and agreed that the course and event were very enjoyable.
The day was a success, with a lot of money being raised for an excellent cause.
LOROS provides hospice care for Leicestershire and Rutland and Stor-a-File hope
to have the opportunity to offer them continued support.

Stor-a-File and ServicePoint DocScan form arrangement in Llanelli and Bristol
Stor-a-File are delighted to announce that they have entered into a quality and
skill sharing project with ServicePoint DocScan with regards to existing operations
in Llanelli and Bristol. Stor-a-File has agreed to work with ServicePoint DocScan’s
existing client base to provide secure document storage and retrieval services with
a similar standard of quality and service as Stor-a-File’s clients enjoy.
This exciting new arrangement offers new opportunities for Stor-a-File to offer
our Document Storage, Scanning and Shredding services in both Wales and the South
West.

Stor-a-File is Invited to Supply Document Storage and Scanning Solutions for NHS
Healthcare Purchasing Consortium
Stor-a-File is thrilled to announce that they are now part of the HPC Framework
for Document Storage and Scanning Solutions (OJEU REF: 2009-115618). HPC is the
NHS collaborative procurement hub for the West Midlands, Luton and London. It is
part of the NHS and is hosted by the University Hospitals Coventry and Warwickshire
NHS Trust.
The organisation provides purchasing, supply chain and commercial services to over
40 NHS trusts, who together spend £2.4 billion a year on goods and services.
Stor-a-File are anticipating exciting times working with HPC and their associated
NHS Trusts.

Haringey Council choose Stor-a-File to be their Document Storage supplier.
As part of a mini competition through the ESPO Framework 2957, Stor-a-File was asked
to quote for uplifting and securely storing a number of boxes of confidential documents
which were kept on site at Haringey Council.
Haringey Council had not used an external storage provider and had some concerns
over how the processes would work. They wanted to ensure that any solution was economically
viable, environmentally sound, that their records would be safe and secure, and
that they would have access to them on a next-day basis.
Haringey Council required Stor-a-File, and other suppliers on the Framework, to
quote and supply methodology for uplifting a number of boxes (originally thought
to be 4000 boxes), storing them, and scanning back retrievals on a scan-on demand
basis.
Stor-a-File offered to provide this service from their new 40,000 square foot secure
facility in Leicestershire, which houses storage space for 300,000 boxes and contains
an operational scanning bureau.
Uplifts are carried out by Stor-a-File’s experienced and security checked drivers
collecting the boxes, indexing and bar-coding had been carried out as requested,
and Haringey Council are used to requesting their boxes through the O’Neil online
web-ordering system.
In the short period of working with Stor-a-File, Haringey Council have been able
to plan their moving from various sites, with little disruption to their Document
Management process. This service has boosted their confidence, and Steve Cornell,
their project manager, has recently informed Stor-a-File that Haringey Council now
expects to send 10,000 boxes to Stor-a-File in 2010.

The Olympic Delivery Authority have awarded Stor-a-File a global contract to store
and scan all the records arising from the forthcoming 2012 games.

Manager for Stor-a-File “and is testament to the hard work and dedication to Customer
Service of the team at Stor-a-File. We are delighted to be associated with such
a magnificent event as the London Olympics especially as so many of us are sports
mad! We are really looking forward to working with the team at the Olympic Delivery
Authority (ODA) who have awarded us the contract."
The contract is initially expected to run to several thousand archive containers
with a requirement to digitise certain of the contractual records. The service will
require collection, collation and delivery to and from the ODA’s Greenwich site
and will involve staff at Stor-a-File’s London, Corby and Leicester Sites.
“This is great news for us” said Simon Cockbill, Stor-a-File Managing Director,
“We have never tried to be the biggest organisation but our staff really do care
about giving good service and this has given us all a real buzz.”

Stor-a-File acquires new facility in Leicestershire
Stor-a-File are delighted to report that we have reached a new milestone number
of boxes of Documents in storage. We have achieved this target by retaining our
existing clients, gaining new clients and working hard to take boxes in and continuously
improve service.
The increase in our client's storage requirements has positioned Stor-a-File to
acquire a new facility in Syston, Leicestershire.
With the location being just off the A46, there are excellent road links to Nottinghamshire,
Lincolnshire and the West Midlands. The building is currently undergoing complete
refurbishment to ensure that it is meets the climate, safety and security requirements
for safe document storage.
The new facility is our largest yet, covering circa 40,000 square feet, and following
a renovation of the property, we are looking forward to announcing that the site
will be fully operational by Spring 2010!

Stor-a-File wins Tender for Document Scanning for London Borough of Brent Council
The London Borough of Brent Council invited Stor-a-File to submit a Quotation for
the provision of an invoice scanning service.
Stor-a-File, headquartered in Leicester but with premises in London, responded to
the London Council by demonstrating our experience in similar projects, our high
levels of security and cost effective solutions and were delighted when The London
Borough of Brent awarded us the contract.

the Global Trade Association for Information Management Companies. PRISM focus on
Document Storage, Document Scanning, Document Destruction and Data Storage. Stor-a-File
has joined this association and attended recent PRISM events in order to ensure
that we are at the cutting edge of the industry by networking with our Peers and
Suppliers, to gain access to Recpords Management Industry Studies and Updates and
to ensure that we adhere to the PRISM code of ethics.
