Stor-a-File operate our Archive Document Storage Facilities from 5 wholly owned freehold sites in Leicestershire, London, Northamptonshire and Nottingham. Our secure facilities are the core to our business, they ensure that we can protect and manage our client’s records and data. With this in mind, we spend a lot of time and effort to ensure that we minimise any risks to the records and constantly work to improve our facilities. In 2009 we have upgraded our CCTV systems throughout all sites and also subscribed to Belfor’s Red Alert plan for business continuity.

Storage Facility

Stor-a-File’s document storage sites are of comprised 80,000 sq. ft. of modern warehousing designed specifically for delivering an efficient and effective storage and retrieval service. The premises have a modern racking system which can house 500,000+ itemised containers. Containers are stored securely and safely ensuring easy access to all items. Fire Prevention Our premises are all installed with a Very Early Smoke Detection Alert (VESDA) system. The system was designed and installed by ADT and provides for a Fire Detection system to meet BS5839-1 2002 Code of Practice for Installation and Servicing of Fire Detection in Buildings. The 800 Series detectors are addressable multi-sensor fire, smoke and heat detectors and are designed and approved to EN54. This system is linked to the BT RedCARE notification system, which instantly alerts the Fire Service. Intruder Prevention Our premises are patrolled 24 hours a day, 7 days a week. On site, we have installed an ADT Galaxy Intruder Alarm system, which conforms to BS4737 and NACOSS. The system also meets BS5839-1 2002 Code of Practice for Installation and Servicing of Alarm Systems in Buildings. Through our monitoring stations and RedCARE we are instantly linked to the Police.

Flood Prevention & Environment

None of the Stor-a-File sites are located within a flood plain. All archive boxes are raised from the ground level at all times; stacked on the shelves or on pallets. Gemini data loggers are used within our storage facilities to monitor the environmental conditions. The loggers are programmed to record and store data on the Relative Humidity % and temperature ºC every 2 hours all year round. This data is off loaded every month and analysed.

Stor-a-File are registered on the Belfor Red Alert Premium Program (Belfor are the world leaders in fire and flood restoration) and as part of this we produce annual risk assessments that address the risks associated with fire, flood, pests, mould, pollution/dirt/dust etc. As members of Belfor’s Red Alert Premium Program, they would attend our offices within 2 hours of any incident that occurs, ready to start recovery work immediately and they also provide us with a detailed damage limitation plan within 24 hours of the incident occurring.

Data Protection Act

All physical and virtual documents are covered under the Data Protection Act 1998. Ref # Z6579030, and confidentiality agreements are in place.
