RETRIEVAL PROCESS - HARDCOPY

We employ full time pickers and full time drivers within our record centres to achieve a next day service to our customers. We have extra company vehicles to handle the ad-hoc requests as well as the regular routine deliveries/pickups. All priority requests are processed and picked immediately, to help prevent any timely delays in getting the file back to the client. Our staff are each equipped with a MC50 Windows Mobile Scanner (as shown.) All movements, picks, validations and pickups are scanned using these scanners, ensuring the point-to-point tracking application has a fully auditable process.

The workflow of a retrieval can be visually demonstrated by this flow diagram:

1. Request received & Workorder Created

Request is received via web/email/fax/phone. Workorders is raised and assigned to the required account. The delivery address is assigned, with a required by date/time. The items details and services/supplies are added to the order i.e. File # 2345 as a retrieval and 6 boxes to pickup. The printed hardcopy of these orders then become despatch documentation.

2. Workorder Items Picked

Delivery workorders are uploaded to the scanner prior to the service date/time, and an electronic picklist verifies what item(s) is required and its relevant location within the storage site. Our pickers then electronically scan the required items (assigning a barcode to any non-barcoded files) and then these items are located into the Outgoing Hold Area in preparation for delivery. Item not founds are scanned as INF and double checked, these items are automatically documented within the notes of the workorder. Bulk file/tape deliveries are assigned 2D batch barcodes and transported within crates or sealed pouches for added security.

3. Delivery/Pickup (Route Operations)

The Driver then electronically upload the scheduled workorders using the route operations function. Each of our drivers must “truck validate” (scan) the required items onto the vehicle, this verifies that all the correct items are loaded. At the delivery site, the items are validated and an electronic signature is collected, and a copy of the workorder is left as a delivery note. Pickup items are then barcoded (if required) and added to the account by scanning to the workorder. Once the Items are returned to site, they are immediately scanned into an “Incoming Pallet”, the scanner is then uploaded and the database is automatically updated. Any new add items are indexed at box level (and/or file/tape level) and the box size is assigned. This information is added to the database and the items are put away and scanned to the individual rack location.
